Once you have qualified candidates for the interview stage, it is time to send them your availability for an interview. This guide will show you how to send out interview slots so that candidates can choose which availability suits them. You can send the interview slots in one of the three ways:
Sending all open slots to all candidates
Using SMH, you can add your availability as slots and send them to the candidates to pick when it suits them best. In this case, if you add 10 slots and send them to 5 candidates, all 5 of them would receive 10 slots. If candidate A picks slot 1, when candidate B is trying to access the link, they'll see only 9 slots that tries to access the link; they'll see only 9 slots left.
1. To do this, click on any active job. You'll find all the candidates here during the interview stage.
2. Click on Manage Interviews
3. Click on Add open interview time slots
4. Once here, you can select the date, time and number of slots to send to your candidates
5. Once you have selected a date, just click on each time for that day that you would like to add
6. Below this, you will get a summary of the meeting invite that will be sent to the candidates. You can also toggle which type of interview you wish for it to be (in-person, online etc.)
7. From this page, you can also leave any additional instructions for the interview as well as upload relevant files the candidate may need.
ℹ️ Please note that any information added here will be added to all slots.
8. Once you are ready, click on 'Add Slots'
9. Once done, you can click on 'Send open interview time slots' to send the slots to all candidates in the 'Awaiting stage'.
ℹ️ Once you move a candidate to the interview stage, they will be in the awaiting section. You can click on 'Send open interview time slots' to send all the slots to candidates in the waiting pile. Once the slots are sent, the candidates will be moved to the 'Unconfirmed' section.
10. In this case, the candidate is in the 'To reschedule' pile. This happens when the candidate requests additional slots.
11. Click on 'Send open interview' time slots once you are confident everything is correct
12. You'd see a pop-up to confirm the slots would be sent only to candidates who haven't received any slots yet. Click on 'I understand'.
13. Once the slots are sent, the candidate will receive an email/SMS with the link to pick the slots, as seen in the image below:
Please be aware that once a candidate chooses a slot, it will mean that any other candidates at the interview stage will not be able to select that date/time
14. Once they have confirmed their interview slot, the hiring managers will receive an email from SMH with the candidate details. Within the jobs, the candidates would be tagged with 'Secured Time slots'.
15. You can view all the candidates who've confirmed their interviews by navigating to Interviews > Confirmed
16. The hiring manager can also add these interviews to their calendars by clicking on the three dots and then selecting 'Add to Calendar'
Creating Assessment Day slots
1. Another interview method is the assessment day, which can also be found in the manage interviews section
Assessment day is a tool that allows you to book in several candidates simultaneously, by giving them all the same slot times to come in. This is useful for group interviews or trials.
2. Once you have selected 'assessment day', you will be presented with this screen and begin by choosing how many slots you would like send
3. From the Duration tab, you will select the date(s) for the assessment day, as well as the duration it will last
4. For duration, you will have the choice of multiple days, a half-day or full-day assessment
5. From here, you can now select a start and end date/time for your assessment day
6. After this, you can edit any details you would like to send to the candidate, including the location and files they might require
7. Once finished, click on 'add slots' and 'Send open interview slots' to send them to the candidate(s)
Sending individual interview slots
1. The final way to send an interview slot is to send one slot directly to the candidate. Begin by finding the candidate you want to bring for an interview in your 'Manage Interviews' tab or by clicking on the candidate profile > Interview tab

2. Click on the actions button (three dots). You will see several things you can do with the candidate here, but for now, you can select 'Send new interview slot' or 'Confirm interview.'
You can directly confirm the interview if you've already discussed the time with the candidate
3. Once you have done this, you can edit the interview as with the previous steps. You can only select one day and time, however, and cannot send multiple slots through this method
4. Once you are happy everything is correct, click on 'Send slot'
